Open Position: Rental Manager
About the Role
MCPA’s Rental Manager is responsible for overseeing all aspects of MCPA’s rental program, from initial inquiry through post-event follow-up. This position manages client relationships, contracts, logistics, and compliance while coordinating with staff and vendors to ensure successful events. The role also supports rental marketing, budgeting, and business development to grow MCPA’s rental program and strengthen community partnerships.
Key Responsibilities
Client Relationship Management
• Schedule and conduct tours for interested renters.
• Respond to rental inquiries via phone calls and email.
• Serve as the primary point of contact for renters from inquiry through post-event follow-up.
• Conduct post-event evaluations to gather feedback and encourage repeat rentals.
Contracts, Records, and Finances
• Write and execute contracts for each event with renters and outside contractors, when applicable.
• Keep MCPA rental calendar current with detailed event information.
• Maintain detailed files on each event.
• Work with MCPA’s Financial Director to reconcile all events.
• Track rental income and expenses and assist with annual reporting.
• Provide input on rental pricing strategies.
Staff and Vendor Coordination
• Collaborate with MCPA’s Bar Manager and Production Manager to ensure renter’s needs are met.
• Schedule and manage event staff, front-of-house, or designate representatives for all rentals.
• Coordinate with external vendors (caterers, decorators, security, etc.) and enforce MCPA policies.
Compliance, Risk, and Safety
• Ensure all events comply with venue policies, contracts, and insurance requirements.
• Oversee safety protocols including crowd management, accessibility, and emergency procedures.
• Report and track any facility or maintenance issues arising from rentals.
Marketing and Business Development
• Work closely with the Marketing Director to promote MCPA rental spaces.
• Create and maintain rental collateral such as rate sheets, FAQs, and photos of rental spaces.
• Represent MCPA at community and industry events to attract new rental business.
Planning and Reporting
• Assist with preparing budgets. Provide periodic progress reports.
• Develop strategies to increase rental revenue and build long-term relationships with partners.
Qualifications
• Degree in hospitality, arts management, or related field preferred; equivalent experience considered.
• Demonstrated experience in event planning, venue rentals, or facility management.
• Strong organizational skills with the ability to manage multiple events and deadlines.
• Excellent written and verbal communication skills, with a focus on customer service.
• Knowledge of contracts, vendor coordination, and event logistics.
• Familiarity with safety, accessibility, and compliance requirements.
• Proficiency with scheduling and office software (Microsoft Office Suite, Google, and similar)
• Ability to work collaboratively across departments and with external partners.
• Flexibility to work evenings, weekends, and irregular hours as required by event schedules.
Pay and Benefits
Salary Range
$46,000–$58,000 annually, commensurate with experience
